Senior Office Administrator

Our client is seeking a Senior Office Administrator to report directly to the Office Manager.

This role is split between working on the upstairs reception in the morning, which services two large meetings rooms, and then supporting and providing cover to the Central Services team as required in the afternoons. This role is integral in ensuring the smooth day to day running of the Guernsey office in relation to the Central Services functions including the post room, reception, filing room and other integral areas of this department.

Job accountabilities:

  • Reception, switchboard and front of house
  • Welcoming all visitors to the office in a professional and engaging manner, ensure that regular visitors to the office are recognised and welcomed accordingly and sign in as per procedures
  • Answering all incoming calls in an efficient and professional manner, ensuring that the caller’s name and business they are calling from are correctly identified; before transferring.
  • Responsibility for ensuring the meeting rooms are set up as per requirements
  • Ensure that meeting and travel arrangements are dealt with promptly and reflected accurately within the relevant spreadsheet.
  • Assist with ensuring that the premises, furniture and equipment are in good working order and liaison with the landlord, agents and contractors as required
  • Assist with ensuring that suitable security procedures and measures are in place.

The desirable candidate will be educated to ‘A’ level standard or equivalent, a professional qualification would be advantageous, have a minimum of 3 years’ experience gained within a relevant role, have a can do attitude and have the natural ability to communicate at all levels both within the group.

The working hours will be 8:00am-4:00pm.
